What to take into the project

Choose a narrow, reviewable task. Evaluate it on representative examples and include correction effort when judging the benefit.

What Is AI Process Automation?

AI process automation uses a model to perform part of a workflow that involves interpretation or generation. It may extract information, classify a request or draft a response. Conventional software still handles many surrounding rules and checks. The workflow needs to distinguish a model’s proposed output from an accepted business result.

Processes Suitable for AI Automation

Look for frequent tasks with suitable information, a clear definition of a useful result and a practical way to review errors. Document summaries and proposed CRM follow-up may be easier starting points than autonomous financial actions. The right use case depends on the consequences of mistakes and the cost of checking the output.

AI Document Processing

Define the document types, required fields and the source evidence users need to inspect. Preserve the original material alongside extracted values. Test variations in layout and content, including incomplete documents. Route ambiguous results for attention rather than silently filling gaps with plausible information.

AI Data Extraction and Validation

Use explicit output fields and validate formats, required values and relationships against business rules. Check extracted information against trusted records where possible. A syntactically valid result may still be wrong, so evaluation should include factual accuracy and omissions. Record corrections to improve the process and understand recurring failure patterns.

AI Reporting Automation

Connect reporting assistance to approved sources and agreed definitions. Calculations should remain reproducible, with a route back to the underlying data. AI can help prepare an explanation, but users need to verify that it is supported. A fluent narrative should not substitute for reconciliation or knowledge of the business context.

AI CRM and Sales Automation

Use CRM history to prepare a summary, proposed next step or draft communication. Define which information is current and who reviews customer-facing content. Avoid treating inactivity as proof of a lead’s status. The workflow should support the sales team’s judgement and preserve the record of what was actually sent or agreed.

AI Workflow Automation

Define the trigger, permitted information, model task, validation and downstream action. Separate read-only assistance from changes to business records. Include an exception route and a completion signal. The workflow should be understandable to its owner without requiring them to infer what the model decided from a long conversation history.

Human Review and Approval

Put review where the consequences justify it and give the reviewer enough evidence to make a decision. A routine approval button is not meaningful oversight if the person cannot inspect the source or understand the proposed action. Clarify who can reject, correct or pause the workflow.

AI Automation Risks and Controls

Review risks such as unsupported output, sensitive-data exposure and inappropriate tool actions. Limit access to what the task needs and record material actions. Evaluate difficult inputs and changes to the workflow before wider use. Monitoring should make recurring errors and unusual behavior visible to an accountable owner.

AI Process Automation Implementation

Move through assessment, prototype, evaluation and a limited pilot. Compare accepted output and total review effort with the existing process. Agree the conditions for expansion, revision or stopping. Handover needs documentation, access ownership, test examples and a support process for changes to models, prompts or connected systems.
