What to take into the project

Plan around complete business processes. Give each process an owner and define how the team will prove that it works before launch.

What Is ERP Implementation?

ERP implementation is the work required to put an enterprise resource planning system into daily operation. It includes process design, configuration, data, integrations and user preparation. A system can be technically available while the business is still unable to receive goods, complete a sale or reconcile a balance. Acceptance therefore needs to follow the business process.

ERP Implementation Process

I start by defining the intended operating result and the people responsible for it. Discovery leads to a scoped plan, followed by design, configuration, integration, testing and rollout. Feedback moves between these activities: a test may expose a requirement that was misunderstood, while a data review may change the migration plan.

ERP Implementation Phases

A useful phase ends with evidence that supports the next decision. Discovery produces agreed requirements; design produces a process the team can explain; build produces a working scenario; testing establishes readiness. Avoid treating calendar dates as automatic approval to move forward when the required work remains incomplete.

ERP Implementation Planning

Define the launch scope, dependencies and availability of business users before estimating the schedule. Identify busy trading periods, stock counts, financial closing and partner commitments that constrain change. The plan should make room for decisions and corrective work, and show who can authorise a change in scope or timing.

Business Requirements and Process Design

Document what triggers each process, which information is required and who accepts its result. Include exceptions such as partial delivery, a rejected invoice or a returned order. Use these examples in design reviews. They provide a common reference for business users and developers and later become acceptance scenarios.

ERP Data Migration

Separate master data, opening balances and open transactions. Assign an owner to each dataset and define the checks needed to verify completeness and correctness. Run trial loads with realistic records. The important question is whether users can operate the migrated data and reconcile it to the source, not simply whether the import finishes.

ERP System Integration

List each connected system and the records it exchanges with ERP. Agree identifiers, ownership, timing and what happens when an update fails or arrives twice. Test the complete transaction chain. A working API call is insufficient evidence that an order, shipment and financial record remain consistent across systems.

ERP Testing

Build tests from agreed business scenarios and expected results. Use representative data and actual user permissions. Record defects with their operational impact and distinguish a launch blocker from a later improvement. The process owner should accept the result based on evidence rather than the delivery team marking a task complete.

ERP Change Management

Explain changes in responsibilities as well as changes in screens. Involve users during design, give them realistic practice and prepare instructions for frequent exceptions. Identify local support contacts before launch. A person who attended a training session may still need help performing an unfamiliar transaction under daily operating pressure.

ERP Go-Live

Prepare a cutover sequence covering final data, open transactions, verification and business approval. Assign an owner to each activity and agree conditions for stopping or reversing the change. The first days of operation need a clear support route, issue prioritisation and checks that essential transactions are being completed.

ERP Implementation Success Factors

I look for active business ownership, manageable scope, usable data and regular evidence of working processes. A strong project also protects time for user participation and makes difficult decisions visible early. Review the result after launch so unresolved process issues do not become permanent workarounds.

Microsoft’s Dynamics 365 guidance also treats launch readiness as a combination of testing, migration, user preparation and operational support. The product-specific checklist is a useful reference when preparing your own readiness review. Microsoft’s go-live checklist ↗

ERP Implementation Checklist

Before launch, confirm that each essential process has an owner and recorded acceptance; migration totals reconcile; integrations handle exceptions; users can perform their work; and support is ready. Record unresolved items with an impact, owner and decision. A checklist is useful only when each answer points to evidence.

Frequently Asked Questions About ERP Implementation

How long does an implementation take? It depends on scope, data, integrations and the team’s capacity to make decisions and test. Should everything launch together? Use business dependencies to decide whether a phased approach is practical. Can planning eliminate changes? No, but it can provide a controlled way to assess them.
